We are an innovative start-up based in Amsterdam, specializing in developing advanced unmanned systems software for Defense. Our diverse team of engineers, project managers, and defense experts is growing rapidly, and we expect to reach 70+ employees within the coming year. To help lead our office operations during this exciting growth phase, we are looking for an Office Manager who takes ownership, thrives in a dynamic environment, and knows how to turn a busy office into a well-oiled machine.
Responsibilities
You will be the go-to person for everything office related — from day-to-day office operations to internal events and the moments that define our culture. This is a role with real ownership, where your decisions shape the environment our team works in and the experience our clients and partners walk into. No two days look the same, and that's exactly the point.
One of the key projects ahead is our move to a brand-new office. Except for supporting the entire moving process from start to finish you will also be the architect of how our office runs: setting up smart routines, creating crystal-clear ways of working, writing SOPs that people actually want to read, and building our brand-new Office Handbook from scratch.
In practice, this means:
Office & Operations:
• Own our office and day-to-day operations end-to-end - You keep the engine running!
• Be the first point of contact for employees, visitors, partners and clients setting the tone from the moment they walk in
• Manage facilities, security, vendors, and suppliers to ensure everything runs smoothly behind the scenes
• Keep the office stocked, energized, and set up for success, from catered lunch to tools and supplies
• Play a leading role in our upcoming office move, from coordination all the way through to final setup
• Support and oversee the team’s travel arrangements
• Shape how our new office operates from day one through designing and documenting clear processes
Internal Events & Culture:
• Organize internal events, team celebrations, offsites, birthdays, and work anniversaries that people actually look forward to
• Create moments that bring energy, connection, and a sense of fun into our fast-paced scale-up environment
• Help build a culture where people feel genuinely welcomed, motivated, and proud of where they work
HR Support:
• Own the onboarding experience and make sure every new joiner feels welcomed, informed, and excited from day one
• Work closely with our HR team to continuously improve life at Intelic
• Spot opportunities to improve how we work and don't wait to be asked. Just make it happen!

• Daily office operations run seamlessly without leadership having to think about them. Vendors are aligned, processes are clear, supplies are stocked, travel is organized, and the office simply functions at a high professional standard.
• You have implemented practical, lightweight processes that bring clarity without slowing the team down. SOPs are easy to follow and the Office Handbook is a living document colleagues rely on.
• You welcome new joiners and make them feel comfortable from the start! The workspaces are ready to go, schedules are structured, and no one ever feels like an afterthought.
• Team events, celebrations, and offsites are organized, thoughtful, and energizing. People feel connected, valued, and proud to be part of the company.
